Our client is one of North America's largest real estate investment advisors, who provides comprehensive real estate services to more than 550 institutional investors across office, retail, industrial, and residential properties throughout North America. We are looking for an Executive Assistant to join their Retail Services team to support Executive Vice President, National Retail Operation Services and other leaders.


  • Act as a key, informed contact for internal and external clients, while providing reliable and timely resolution to inquiries.
  • Maintain the EVP’s calendar, including scheduling meetings and conference calls, preparation of meeting materials and related tasks.
  • Prepare PowerPoint presentations and excel spreadsheets/graphs presentations.
  • Prepare correspondence, memos, minutes and reports frequently of a confidential, strategic and/or specialized nature from handwritten material.
  • Ensure the EVP signs documents in a timely fashion and that materials are returned to the appropriate people both internally and externally.
  • Prepare expense reports and ensure reimbursement is made on time.
  • Make travel arrangements for the EVP and other executives as required.
  • Track and process invoices. Coordinate approval of invoices requiring the EVP’s signature for invoices requiring a second signatory and ensure these are approved and returned in a timely manner.
  • Maintain Employee Recognition and Rewards Program for the retail group and report on a quarterly basis to Human Resources.
  • Organize and assist with the various conferences.
  • Complete other tasks and duties as needed.


  • 5+ years of executive assistant/personal assistant or related experience for members of the executive team.
  • Experience in planning and ensuring accuracy of travel arrangements.
  • Experience in commercial real estate is an asset.
  • Advanced knowledge of Microsoft Word, Power Point and Excel.
  • Advanced proficiency in spelling, punctuation and grammar and minimum typing speed of 60 words per minutes.
  • Ability to handle confidential documents professionally while maintaining a great sense of humor.
  • Thrive on helping others and is extremely organized and detail-oriented to ensure efficient administration of the team.
  • Ability to work independently and to research and gather information from appropriate resources.
  • Strong people skills and a team player. Ability to build relationships at all levels of an organization and with external contacts.
  • Ability to proactively anticipate the EVP’s needs, and respond to requests in the time frames with minimal supervision and respond effectively to issues that arise in the absence of the EVP.
  • Ability to communicate effectively, both oral and written.
  • Ability to allocate time effectively, work well under pressure and manage tight deadlines.
  • Ability to handle multiple demands, competing priorities and adapt to new ideas and constant changes.

This position is located in Vancouver and offers an annual salary ranging between $65,000 and 75,000 depending on experience and qualification plus a 5% bonus.
