Job Description

Talentcor Professional is looking for an Executive Assistant who will be responsible for providing full administrative support to1 EVP and 1 SVP. The successful candidate will function with minimal supervision and will demonstrate a high degree of independence, tact/diplomacy, initiative, discretion and judgment. We are looking for an experienced Executive Assistant with a minimum of 5 years’ experience.

Salary: $65K - $75K + 5% performance bonus
Vacation: 3 weeks
Benefits Offered following month after employed.

Location: Downtown Toronto
Position: Fulltime permanent
 

Responsibilities:

  • Provide direct administrative support to the two senior executives of Portfolio Management.
  • Provide support to two additional Senior Vice President, Portfolio Managers and the Asset Management team.
  • Maintaining and coordinating calendars, including scheduling complex meetings and conference calls, preparation of meeting materials and related tasks.
  • Act as a key, informed contact for internal and external clients, while providing reliable and timely resolution to inquiries.
  • Prepare PowerPoint presentations and excel spreadsheets/graphs presentations.
  • Assisting in the organization of various investment brochures, memorandums and reports, researching background information and gathering it from appropriate sources.
  • Tracking and processing invoices, expense reports, corporate Visa reports, and benefit claims.
  • Booking and managing travel arrangements.
  • Organize and maintain paper filing systems, archives and electronic files.
  • Plan events and any larger meetings including appropriate layout of rooms, seating arrangements, dinner menus, invitations, etc.
  • Other duties as assigned.

Skills:

  • Pro-active. Ability to anticipate the needs of 2 senior executives and respond to requests in the timeframes given with minimal supervision.
  • Ability to prioritize and work effectively with a team.
  • Highly organized and detail-oriented to ensure efficient administration of the department.
  • Strong sense of urgency with the ability to meet tight deadlines
  • Tactful, diplomatic, assertive with strong business acumen and positive demeanor.

Requirements:

  • 5+ years of related administrative experience. Previous experience in supporting two or more members of senior leadership teams is considered an asset.
  • Experience or background in investments, real estate, leasing or property management/ development would be considered an asset
  • Successful completion of a Police Clearance – A criminal verification check is required for employment.
