Job Description

Talentcor Toronto is currently recruiting for a Bilingual Credentialing Coordinator for a fulltime permanent role. The role is located in Toronto steps away from the Subway. The salary for this position is based on experience. Performance incentive, vacation, benefits, RRSP programs are also offered for this position.

This position is responsible for assisting in the assessment of the educational and experience qualifications of students and graduates the certification program. The incumbent will assist the Vice-President, Education, Manager, Certification and other certification staff in implementing the mission statement, strategic plan, and business plan of the Client.

Monday to Friday, (normal business hours) 37.5 hours with occasional overtime. Occasional travel within Canada may be required.


Certification/Designation Work Experience Requirement Applications: (25%)

  • Administration of the Certification/Designation Work Experience Requirement Application process.
  • Responding to inquiries (both email and phone) about the Experience Assessments. Responses will be required in both English and French.

Credentialing: (20%)

  • Conduct Certification audits (or escalated assessments) on a minimum of 10% of applications submitted confirming legitimacy of the student’s verifier (ensuring that the verifier is an immediate supervisor in the student’s company) and confirming the nature and nature of the position on the application.
  • Conduct audits on a minimum of 2% of certification holders reviewing the individual activities claimed and requesting backing documentation.
  • Assist with the processing of Employer Letter requests (notices to employers that their employees have received certification).
  • Responsible for responding to certification verification requests.
  • Assist in the processing of student and member leave requests.
  • Assisting in the administration of the Applications and running various credentialing error reports.
  • Preparation, development and review of credentialing and certification process documentation as assigned. Assist the Senior Credentialing Coordinator in the maintenance of the database of eligible/ineligible courses.

Coordination of Certification Programs 15%:

  • Coordinate and manage all aspects of the certification course administration within assigned portfolio including:
    • Creating iMIS Meeting Events for each session (set up class/course) and publishing to website
    • Coordinating registrations with Member Services Department
    • Ensuring the course material is available to students when class commences including textbooks, updated course outlines, and student guides
    • Ensuring students and instructors gain access to the education platform required to complete the course
    • Processing Cancellations, Transfers, Refunds, and Rewrites
    • Resolving any student issues or college issues throughout the program
    • Maintaining accounts receivable for institutions within portfolio
  • Contribute to the budgeting process with regard to expected annual registrations within the portfolio (based on historical volumes and knowledge of educational affiliates).
  • Test platform and website upgrades.

Support Centre: (15%)

  • Through the Certification Inquiry Phone line and the Certification Department Email box, respond to inquiries from students and prospective students with regard to:
    • General certification information
    • Course delivery method options
    • Course registration processes
    • The advantages of gaining certification

Relationship Management: (10%)

  • Liaise with educational affiliates who offer the client’s Certification courses, as well as other external stakeholders, on a regular basis.
  • Implement course enrolment increase strategies such as scheduled e-blasts for all public college offerings, increased business development research, increased Benefits of Certification seminars and webinars, production of certification collateral (tool-kit) to assist public colleges in marketing the program, and focus on improvements to the certification sections of the client’s website.
  • Represent the client at events such as the annual Certification Recognition Events and Coordinator and Instructor Conference.
  • Ensure all Instructors Certification are updated and are members in good standing and confirm qualifications to institutions.

Education Advisory Council (EAC) Coordinator: (5%)

  • Coordination of the Education Advisory Council meetings and teleconferences
  • Create meeting agendas, taking minutes and preparation of research and proposal documents for the Council.

Other Duties 10%:

  • Participate in various certification and credentialing projects as required.

Education/Professional Development/Work Experience Requirements:

• Post-secondary education – College diploma.

• 2 years Credentialing experience required.

• Experience working with post-secondary schools would be an asset.

• Fluently bilingual is required, English and French, both written and spoken.

Technical Competencies Required:

• Proficient computer skills/knowledge of Microsoft Office (Word, Excel, Access, Outlook).

• Knowledge of iMIS database would be an asset.

• Ability to learn applications as required.
